Project Accounting Administrator (Temp-to-Hire)

Location: Frederick, MD (Fully Onsite)

Pay Rate: $23-$25 per hour

Schedule: Full-Time, Monday-Friday

Overview

We are seeking a highly organized and detail-oriented Project Accounting Administrator for a full-time, onsite, temp-to-hire opportunity. This role supports project managers and field supervisors with administrative, accounting, and coordination tasks to help keep projects running on schedule and within budget. The ideal candidate is dependable, comfortable with numbers, and able to manage multiple deadlines in a fast-paced environment.

Key Responsibilities

Submittal Management

Create and maintain the project submittal log.

Prepare submittal cover sheets and compile complete submittal packages.

Track approval status, follow up on outstanding items, and communicate updates to project managers.

Submit finalized submittal packages after internal review.

Project Accounting Support

Enter purchase orders and approved invoices into internal tracking systems.

Ensure budget tracker aligns with accounting data and approved project changes.

Support basic account and budget reconciliations as needed.

Timecard & Labor Tracking

Collect weekly timecards and verify accuracy.

Enter hours into the project tracking sheet and update total hours used vs. budgeted hours.

Communicate weekly labor usage updates to project managers and foremen.

Equipment & Rental Coordination

Track lift rental schedules and notify project managers when renewals or pickups/drop-offs are needed.

Coordinate with field foremen for onsite equipment logistics.

Warranties & O&M Documentation

Assemble warranty and O&M documentation packages based on information provided by project managers.

Submit finalized packages to the general contractor and provide copies to internal stakeholders.

Qualifications

1+ years of administrative, project coordination, or accounting support experience (construction or similar industry a plus).

Strong comfort with numbers and basic accounting concepts (POs, invoices, budgets, hours).

Highly organized with excellent attention to detail and follow-through.

Proficient in Microsoft Office (Excel required).

Reliable, punctual, and able to work consistently onsite.

Strong communication skills and the ability to collaborate with project managers and field teams.
